Cataloging Policy

Here is our style guide on how to record the information about fictional book maps in RDA standards and MARC21 format. If not specified here, follow the traditional practice of the library about which information should be recorded.

RDA

RDA is our content standard of choice. Use these elements in addition to those you would use when cataloging a book for the library.

7.2 (nature of the content)

Include that it is a book with a map(s). If it has other illustrations mention that here as well.

7.10 (summary of content)

Include a short description of the content of the book and a description of the map (information about the map title, creator, location in the book, and if the map is in black and white or color.)

20.2 (contributor)

Include a 20.2 entry for the illustrator. If a separate map creator is designated, include an additional 20.2 for them, labeled as the cartographer, unless otherwise designated in the work.

18.5 (relationship designator)

Pair with 20.2 entry to identify the illustrator (if applicable) and map creator relationship to the book.

Notes on RDA:

*Field 6.9 (content type) only allows for one entry, and we decided to use ‘text’ as we are cataloging the book itself, and including information about the maps it holds.  

*Field 7.2 (nature of the content) should provide an overview of the scope of content, and therefore should explicitly state how many maps the book contains.

*Field 7.10 (summary of content) would include a summary of the book itself and a description of the map(s), in order to provide a wholistic and accurate summary.

*Field 20.2 (contributor) and field 18.5 (relationship designator). These are two repeatable fields which we used to identify the map creator.

MARC 21

When filling out the MARC 21 information, include the following entities in addition to the others required by the library's cataloging policy.

246 03 (varying form of title)

Use indicators 03 to indicate that this is a note and an additional title that is not presented on the cover page.

Include subfield p to indicate the name of a section of the book (the map) with the map name. If there is more than 1 map include an additional subfield p. If there is not a specified name of the map the cataloger can create one and note this in the 500 field.

300 ## (physical description)

Include subfield b to specify that the book contains a map(s) in addition to the illustrations.

500 ## (general note)

If the map does not include a specified name and the cataloger has created a name elsewhere in the record, they should note this creation here.

520 ## (summary)

Create an additional 520 entry to summarize the contents of the map. Include information about map title, cartographer, location in book, and if the map is in black and white or color.

700 1# (added entry personal name)

If applicable include an entry in the 700 field for the cartographer.

Notes on MARC21:

*Field 245 (title statement) remained as the title of the book, as we decided the book itself would be the item cataloged, with additional information added for the maps.

*Field 246 03 (varying form of title). As the title statement would be the book title, we added field 246 to include the title of the map(s) that way both are incorporated into the record. We did, however, come across the issue where the maps were untitled, and in that case it was up to the discretion of the cataloger to formulate one. 

*Field 300 (physical description). This field should explicitly state the presence and number of maps in the novel. 

*Field 336 (content type). As we are cataloging the book, we decided to use ‘text’ as the main content type. 

*Field 500 (general note). As noted above, we added Field 246 to include the map title, but we came across issues where the maps were untitled. We wanted to include a space to state that the cataloger devised the title, so we decided to use the general note field. 

*Field 520 (summary). We decided that each MARC21 record would have two separate 520 fields: one to summarize the book, and one to describe the map(s).

*Field 700 1# (added entry personal name). We decided to add this field to credit the map creator.
